General FAQs

What are the dates for this project?

The Vote Processing Centre runs from Wednesday 24th September through to Friday 17th October. The Centre will be open on weekdays, and also on the weekend of Saturday 11th to Sunday 12th October when the voting closes, when there is a higher volume of votes to be processed. At the end of the elections, there is also administrative work that requires attention and so we may look to keep on some workers if they want to stay on.  We also may have to run a judicial recount, where we would need to retain some workers for certain functions to assist the District Court. We do not know when this might happen, but it has a high probability of happening. We will also hold a Team Leader training day on Tuesday 23rd September for those appointed to Team Leader roles.

Where will I be working?

The Mailroom and Vote Processing Centre is in a central Auckland location in Grade-A office space benefitting from a new, custom fit-out for this project. There is no onsite casual parking available and we are unable to reimburse for travel expenses, but it is well served by public transport.

What can I bring?

You can bring snacks and water bottles but you will be required to hand in your phone, or other internet-connected devices, to the Staff Manager whenever you enter the Vote Processing Centre. Personal belongings like these will be securely stored and available for collection whenever you leave the processing centre on breaks or at the end of the day’s shift.

How does the attendance bonus work?

The bonus is payable to anyone who achieves 100% attendance of the 20 vote processing days. The bonus is an extra 10% of your basic pay for the whole project, and will be paid in the 21st October pay run.

How does the weekend bonus work?

Everyone that works on both of the weekend days will receive an extra $200 weekend bonus. This will be paid along with the regular payroll and will attract the standard Witholding Tax.

What if I can’t make a shift that I’ve been rostered onto?

If you have agreed to attend a shift and are subsequently unable to attend, we request that you notify the Staff Manager with as much notice as possible so that a replacement can be found for your team.  You will not receive pay for that shift and it could also affect your attendance bonus.

Will there be any breaks?

Yes, there will be breaks at set times throughout each day, including a longer lunch break.  You can bring your own packed lunch or go out to buy lunch, and there will be a dedicated kitchen area on the floor of the vote processing centre. There will be a separate break room area where you will be able to use your phone, make use of a fridge and access tea and coffee making facilities.  You can expect the following amount of breaks depending on how long your shift is on that day:

2.00 to 4.00 hours worked

  • 1 x 10 minute rest break

4.01 to 6.00 hours worked

  • 1 x 10 minute rest break
  • 1 x 30 minute meal break

6.01 to 10.00 hours worked

  • 1 x 10 minute rest break
  • 1 x 30 minute meal break
  • 1 x 10 minute rest break

When do I get paid?

There will be two main payrolls processed. For days worked in September payroll will be processed on Tuesday 7th October and for days worked in October payroll will be processed on Tuesday 21st October.

Will I receive training?

Training will be given on day one 24th September which you will also receive pay for. Team Leaders will receive extra training on the day prior, which you will also receive pay for, if doing this role. If you are coming in after the first day you will receive training from your Team Leader before starting.

How will taxes work?

You will be paid by JOYN Ltd who will deduct 10% Witholding Tax from your pay, with further taxes being deducted via your personal tax agent of choice, or via your annual return.  You do not need to be GST registered as an independent contractor unless your annual contractor earnings are likely to exceed $60,000.

Who will I be working for?

You will be performing tasks on behalf of Independent Election Services Ltd but your employment contract will be with JOYN Ltd who are managing the recruitment and staffing for this project.  Your employment status will be as an independent contractor.  JOYN can help to set you up as a Contractor if you are not already set up to work in this way.

What would constitute a conflict of interest and disqualify me from this work?

Due to the nature of this project, we will not be able to offer Vote Processing work to anyone who is related to any of the candidates standing for office or anyone who is a member of any political party.

Vote Processor FAQs

What are the times of the shifts?

Shifts start at 8.00am and end when all teams have completed all the set tasks for the day. It is anticipated that shifts will last between 4 to 10 hours with them getting longer as increasing numbers of votes come in closer to election day on 11th October.

Can I leave a shift early?

If you need to leave in cases of emergency, before all of the tasks have been completed for the day, you are permitted, but your daily pay for that day will be reduced by a percentage according to how much of the shift length you miss that day. The same applies if you are late or unable to make a shift until after 8.00am.

How much is the Vote Processor daily pay rate?

$300/day plus an extra bonus for the weekend of 11th and 12th October.  This is a day rate and is a fixed amount regardless of the number of hours worked between 8.00am to 6.00pm, as long as you are working until all tasks have been completed for the day. If you are required to work beyond 6pm then an hourly Evening Pay rate will apply.

How much is the Evening Pay rate?

Vote Processor staff are eligible for an Evening Pay rate of $40/hr for approved time worked past 6pm which will get paid along with the regular payroll.

How many processing officer positions are available?

The vote processing centre will require 80 vote processor staff consisting of 6 teams of 12 processing officers, plus a team of 4 ‘techno’ workers to operate the scanning machines and 4 ‘logistics’ workers to be runners and storemen. It is expected that all workers will help out where required to get the day’s work completed. There will also be a large team of back-up reserves to cover for workers unable to make their rostered shifts or for spikes in demand.

Mailroom Sorter FAQs

What are the times of the shifts?

Shifts start at 6.00am and end when the mail sorting team has completed all the set tasks for the day. It is anticipated that shifts will be shorter at the start of the project and get longer as increasing numbers of votes come in closer to election day on 11th October. It is expected that shift lengths will average out to 8 hours per day over the course of the whole project.

Can I leave a shift early?

If you need to leave in cases of emergency, before all of the tasks have been completed for the day, you are permitted, but your hourly pay will stop when you leave. The same applies if you are late or unable to make a shift until after 6.00am.

How much is the Mailroom Sorter hourly pay rate?

$27/hour plus an extra bonus for the weekend of 11th and 12th October.  This is an hourly rate and is paid according to the number of hours submitted and approved by the Staff Manager.

How are my hours tracked?

You will receive login instructions to the JOYN timesheet system and enter your shift start and end times before submitting for approval. 10-minute rest breaks are paid but 30-minute meal breaks are unpaid so your timesheet entries will need to reflect this.

How many mailroom sorting positions are available?

The mailroom will require 10 staff every day of the project including the weekend of 11th to 12th October. There will be a member of staff from Independent Election Services there to open up the mailroom and get the shift started at 6.00am every day. There will also be a small team of back-up reserves to cover for workers unable to make their rostered shifts or for spikes in demand.
